Our Best Practice is to use a Calendar Monitor to add events to the calendar, rather than allow individual chapter leaders to add their own events. This Best Practice will limit the number of individuals who have access to Registration Tool Manager, as this is a high level of access and members with Registration Administrator access can add/edit/delete ALL events on ALL calendars and add/edit/delete entire calendars.
- The fewer members creating calendar events, the better.
- Easier to train one or two members to add events.
- Events are created correctly and consistently.
- VP Communication should verify the setup of each event on the the calendars.
- Chapters can have as few as two calendars:
- Meetings and Events
- Philanthropy Events
- To create an event click on 'Manage' and the 'Add Registration'
- Do not click on 'Calendar Configuration (not event setup)' as that will change the setup of the entire calendar and effect every event on that calendar.
- Registration Tool Manager defaults to show current events. To view/edit a past event on a calendar, select 'All Registrations' in the 'View By' dropdown and add a date in the 'Start Date' field.
- When configuring a calendar we recommend you do not make any selections in the Access Section.
- When adding events, we recommend you do not select a group in the 'Restrict Sign Up To' dropdown, because only that group will see and sign up for the event. It is recommended that events not be restricted so everyone can see what is happening on any given day.
NCL, Inc. has created the four forms listed below in Form Builder for members to use to add or change an event on a Calendar page. We recommend you link these forms under your Chapter tab.
- The form responses should be emailed to the Calendar Monitor and the VP Communications
- Calendar Monitor then creates the events and the VP Communication checks the entries.
- VP Communications emails Calendar Monitor if any changes need to be made so she is constantly learning how to improve the events on the website calendars.
- Grade Level Advisors could complete a 'Annual TT Meeting and Events' template so they do not have to complete a form for each of their TT Monthly Meetings.
